Marketing and Administrative Coordinator
Summary
The role of Marketing and Administrative Coordinator ensures that the marketing engine and the office both run smoothly. Reporting to the Marketing Manager, the Marketing and Administrative Coordinator is responsible for preparing and implementing print and digital advertising activity, initiating and carrying out marketing collateral projects, stakeholder engagement, and representing the destination and brand of Tourism Golden in accordance with the Strategic Plan and brand guidelines. The Marketing and Administrative Coordinator will assist the Marketing Manager in determining the successful achievement of strategy goals and objectives. The role also encompasses general administration, financial administration, and ensuring the organization adheres to its governance responsibilities.
Primary duties
- Research and KPIs: Collate and clean data for KPI reports.
- Stakeholder Sales: Offer sales for the Golden Travel Planner, Maps, Website Renewals, and other third-party coop ad opportunities.
- Stakeholder Engagement: Update and maintain the stakeholder contact database. Respond to ad hoc and daily stakeholder tasks and updates. Engage in stakeholder outreach to help educate about the value of Tourism Golden and opportunities with the organization.
- Paid Advertising: Implement print & online advertising according to the budget, tactical plan, and calendar for owned and third-party marketing campaigns. Report to the Marketing Manager on the success, challenges, and ROI of tactical activities. Ensure the Tourism Golden brand is woven into all activities.
- Marketing Collateral: Produce materials such as the Golden Travel Planner, maps, and other communication pieces. Manage all ad sales and record accurate edits from stakeholders.
- Office Administration: Answer the telephone and general email inquiries and respond efficiently. Provide administrative support to the Marketing Manager on a daily basis. Manage day-to-day office tasks, including filing and equipment.
- Financial Administration: Enter invoices, record payments, and ensure accurate and up-to-date financial records are maintained. Prepare monthly financial reports. Record payroll. Training for all procedures will be provided by Tourism Golden.
- Board and Governance Support: Organize monthly board meetings and other events; venues, meeting invites, and responses. Prepare monthly financial report, agenda, and take accurate records and minutes.
- Ad Hoc: Administrative support daily to the Marketing Manager and tactical support on special projects.
- Other: Personal appearance and conduct to represent the Organization in a professional manner at all times. Financial information will be kept confidential, and must be willing to sign a confidentiality agreement.
Qualifications & attributes
- Post‐secondary education (marketing, communications, or tourism preferred) or equivalent administrative experience.
- Organized, detail‐oriented, able to multitask; strong written and spoken communication; strong interpersonal skills; proven project management.
- Bookkeeping knowledge and Sage Accounting are assets; web content management experience is an asset.

Position type and hours:
This is a regular, full-time position with a 40-hour work week, based out of the Tourism Golden office. Remote work applicants will not be considered. The role may require occasional evening and weekend work.
Compensation & benefits:
This is a full-time, permanent position with a starting salary range of $50,000–$55,000, depending on experience, with available performance-based increases. The role includes a comprehensive benefits package along with an additional employer-supported health and wellness benefit.
